THE CENTRE MANAGER

The CM is expected to accept and successfully handle a demanding workload and assume responsibility for the preparation, installation, operation and outcomes of the programme at the designated summer school. You will utilise your interpersonal skills as well as your trouble-shooting abilities.
You will have a strong managerial team to support operations and in return, we expect you to be proficient in all areas of the summer school environment. A strong yet approachable persona is essential to ensure you effectively lead and support all your staff throughout the summer. Your priority will be the overall success of the school and the continuing success of its professional relationships.
ACTIVITY MANAGER

Activities Manager is responsible for supervising and supporting a team of Activity Leaders and ensuring the smooth running of the activities and excursion programme. The Activities Manager is part of the Centre Management Team along with the CD and Director of Studies.

The Director of Studies is responsible for supervising and supporting a team of EFL teachers and ensuring the smooth running of the academic programme and ensuring that it is of the highest possible standard so that the students derive the maximum benefit from their course. The Director of Studies is part of the Centre Management Team (CMT) along with the CD and Activity Manager (AM) or AMT (Activity Management Team) and as such plays an important role in the safeguarding and welfare of the students.
This is a management position and therefore, you should expect a demanding work load. It is also a residential position, and duties will include assisting with some supervision of students in the residences.

Qualifications

CENTRE MANAGER
- Assist the Operations Manager in the implementation, monitoring and planning regarding the summer school programme in terms of the leisure programme, transportation, student welfare, staffing and training and customer service functions. Assistance should be given regarding the academic programme when and where necessary.
- Be the focal point of the Centre Management Team (CMT) consisting of Director of Studies (DoS) and AM (Activity Manager) ensuring it runs in a harmonious way, whilst acting as the principal representative of the company on site.
- You will ensure that all safety procedures are followed in line with the law, British Council best practice and taking into account any regulations imposed by the university, using a common sense approach.
- Emergency phone form the main person responsible for the 24/7 emergency line except on your day off or time off during the day.
- HR you are ultimately responsible for any further recruitment and essentially the management, training, monitoring and development of your team and so need to foster a positive open and friendly team working environment.
- You are ultimately responsible for the reporting and updating of all risk assessments both for the site and all activities and excursions.
- You are ultimately responsible for ensuring all administration and paperwork is up to date and passed on to the company. Notes must be kept of meetings and communication channels must flow. Brief weekly reports and a more detailed final report must be filed at the end of the summer school.
- Customer service as the representative of the company you must develop a good rapport with the Group leaders (GLs) and conduct their Inductions. You must review all customer feedback questionnaires (initial and end of course for students and excursion feedback forms in addition for the GLs).You must report and act on any negative feedback as quickly as possible. We want everyone to have a very positive experience at the summer school so in the event of a complaint it must be investigated and solved quickly.
- You are responsible for managing the budgets and ensuring they are adhered to. Please try to prevent waste and look into ways of preventing this and increasing cost efficiency.
- You are responsible for monitoring suppliers and ensuring they are adhering to their agreements and providing a safe and quality service. You or the CMT may have to source suppliers and negotiate favourable rates.
- You are the main contact with the University and you must report to Trinity TS Head Office.
- You are overall responsible for the smooth running of the summer school
You may be required to undertake other duties from time to time as may reasonably be required.
ACTIVITY MANAGER
- Attending an induction and conducting part of the Induction pertinent to their area in addition to on-the-job training of ALs
- Overseeing the assignment of duties to ALs
- Liaising with the GLs for the benefit of their students.
- Ensuring a high level of pastoral care, safeguarding and PREVENT.
- Ensuring staff put the interests of students first and quickly manage any problems of discipline or otherwise successfully
- Ensuring staff complete documentation
- Hold staff appraisals along with the CD
- Working to ensure the high standard of the activity and excursion programme
- Holding regular meetings and provide support and guidance to activity leaders
- Monitoring and maintaining staff levels and assisting with local recruitment in the event of need
- Effectively managing resources and materials, including making sure that they are returned to safe keeping
- Assisting with the induction, meeting and greeting of new student arrivals and attending Welcome meetings
- Close collaboration with and reporting all incidents to the CD to ensure the smooth running of the centre: liaising with GLs and Venue staff when necessary.
- Completing the staff rota in conjunction with the AMT
- Completing activity leaders hours for the CD for payroll in conjunction with the AMT
- Ensuring all staff are actively aware of accident and emergency procedures
- Reporting to the Centre Director and Trinity UK management and cooperating with British Council procedures, documentation and inspectors.
- Assisting the CD in the set-up and shut down of the centre and in the day-to-day running of the centre
DIRECTOR OF STUDIES
- TEFLQ qualified: DELTA, Trinity Dip. TESOL, MA TESOL (with 5 hours of observed teaching practice), PGCE in TESOL (or rationale)
- First degree
- Organising and running the induction meeting for all teachers and academic staff. Individual Inductions for those not able to be present.
- Organising testing and placement of students and class lists and Testing/Induction lessons, ensuring a good mix of students in classes from different groups and where possible nationality whilst keeping the level and ages as harmonious as possible.
- Timetabling classes and assigning teachers
- Managing teachers and ensuring lessons are focused on speaking, listening and communicative activities to a good standard. Being proactive and monitoring, offering support to teachers before it is requested. Guiding newly qualified staff in preparing lessons.
- Holding regular daily short teaching staff meeting with minutes and longer weekly ones to refresh on teaching, providing support and guidance as required. Attending daily meetings with the CD and AM where minutes are taken.
- Safeguarding, ensuring staff put the interests of their students first and quickly manage any problems of discipline or otherwise successfully. Ensuring all incidents ae reported and students well-being is prioritised.
- Ensuring teachers complete documentation (e.g. record of work) and student certificates and reports correctly and attending the award ceremony at the end of course.
- Working to ensure the academic and recreational aspects of the programme are integrated especially regarding the excursion programme and Project Areas led by Activity Leaders
- Monitoring and maintaining staff levels and assisting with local recruitment in the event of need
- Effectively managing resources and materials, including making sure that they are returned to the staff room and that all downloaded material is suitable and age appropriate
- Assisting with the induction, meeting and greeting of new student arrivals and attending Welcome meetings (or part thereof)
- Close collaboration with and reporting all incidents to the CD to ensure the smooth running of the centre: liaising with GLs and Venue staff when necessary.
- Carrying out lesson observations and feedback as directed by the CD of all teaching staff and give regular, documented feedback on performance. Carry out and write appraisals on teaching staff at the end of the summer course based on the appraisal form
- Completing teachers timesheets for the CD for payroll
- Ensuring all academic staff are actively aware of accident and emergency procedures and that fire drills in the classrooms are carried out regularly and efficiently
- Safety and welfare of all students at all times. Ensuring all staff are aware of the safeguarding policy, laws and applying them.
- Overseeing preparation for and administration of Trinity GESE exams
- Reporting to the Centre Director and Trinity UK management and cooperating with British Council procedures, documentation and any inspectors.
- Be familiar with British Council and English UK guidelines (Handbook and documents available on site) and ensure academic management achieves and maintains the standards set out in these guidelines. Being familiar with the staff handbook and updating the teachers handbook as necessary.
- Represent Trinity UK positively in all conversations with clients, staff, and the host centre.
- Write weekly reports to be submitted every Tuesday, and a final report to be submitted to Head Office within one week of the centre closing.
- Assisting the CD in the set-up and shut down of the centre and in the day-to-day running of the centre
- Accounting for student absences punctually in real time (within 15 minutes of the start of a lesson) and reporting them effectively.
- Organise Group Leaders sessions for up to 1.5 hours per week on request. These may be on British culture, an update of teaching practices and/or resources.
- Teaching if required to meet operational demands for example a teacher who has to momentarily leave a class but not regularly.
